Making a Booking
You can either book online, or direct with the site. Please have details of all party members when making a booking. Please check your confirmation as Southdownway Caravan & Camping cannot be held responsible for errors in information provided at the time of booking.
Bookings are not transferable to another party.
When making a booking you agree that you or at least one member of your party is eighteen years or over, you have the authority of all persons in your party to book on their behalf, you accept these Terms & Conditions and you agree to be responsible for any loss or damage caused by any member of your party or animal accompanying you. We will not accept any more than 3 Pitch bookings per families, (maximum 10 people per group of 3 bookings, unless agreed by us prior to booking) If you are found to have formed any larger groups while on our site we reserve the right to ask you to leave, with no monies refunded.
Please be aware we are a family campsite, therefore do not accept large all adult group bookings, (maximum 6 adults, per group of 3 bookings, unless agreed by us prior to booking) if you book a large adult group booking, your booking will be invalid and cancelled, no monies will be refunded. If you book individually and are part of a large group booking, your booking will be invalid and cancelled, if you are already onsite you will be asked to leave, no monies will be refunded.
We do not accept groups under 18 years old, All children must be accompanied by a parent.
Prices
The prices advertised are accurate at the time of booking. Prices can move up or down and Southdownway Caravan & Camping reserves the right to amend prices. Customers are advised to check the website for the most up to date information including our latest promotions, deals and discounts. Although prices may vary from time-to-time, the price payable is the price confirmed at the time of booking.
The prices are based on a daily rate unless otherwise stated.
Prices do not include any additional services, features and facilities unless expressly stated.
Tents and trailer tent pitch prices are inclusive of one car. Motorhomes and campervans are not inclusive of a car or motorbike.
Winter rates will only be given for long term stays, between 1st Oct to 31st March. Disability discounts will not be given for discounted long term winter stays.
WE DO NOT HIRE OUT TENTS, CARAVANS, MOTORHOMES, CAMPERVANS OR STATIC HOMES.
Visitors
Southdownway Camping is happy to accommodate up to two visitors per pitch per day for free. Should you wish to have more than two visitors you must ask our permission and it is at our discretion although permission will not be unreasonably withheld. All day visitors should report to the reception on site.
It is essential, for security and health and safety, that ALL visitors report to the reception on arrival. Entry to the site and parking on site will be at our discretion. All Visitors are required to arrive before 6pm and leave the site by 9:00pm.
Payment
Payment for advanced bookings can be made by Credit or Debit Card. 30% of the total cost of the booking, or a minimum payment of £9, is payable at the time of booking. Full payment is required no later than 5 days prior to arrival. For all booking/purchases made on site we accept cash, Credit and Debit Cards (with the exception of American Express Cards).
Pitches and Units
The price of your unit is as detailed at time of booking on our website. The prices for additional extras and services are also contained in our website.
Unit – A unit is a tent, trailer tent, caravan, campervan or motorhome.
Any unit which exceeds 10m x 7.5m must be booked directly with the campsite to be certain that the unit can be accommodated.
One car (or motorbike) may accompany tents and trailer tents on the pitch, ground conditions allowing.
Motorhomes and campervans are not inclusive of a car or motorbike, only caravans, tents and trailer tents are inclusive of a car or motorbike.
We will require a CRIS number for all caravans on arrival.
Cancellation and changes to your booking
Up until 5 days before the date of arrival, you may cancel the booking and receive a credit for all fully paid bookings, however credits will only be issued at the discretion of our wardens. We do not refund or credit deposits. The credit can be used towards any single future booking of your choice (availability permitting). Credits do not roll over from cancellation to cancellation. A booking may only be moved at the discretion of our wardens and will only be moved once. No actual refunds will be issued under any circumstances.
Once on site, no refunds or credits will be issued in association with any payment made towards the booking covering that stay. For the sake of transparency, this applies without exception: including for example where you should leave early due to bad weather, sustain an illness or injury, experience a failure of camping equipment, or for any other reason whatsoever. It applies to payments processed online, received face to face, or by other available means.
Changes to the date of arrival and pitch category, or reduction of the number of nights staying, can only be made up to 5 days ahead of the date of arrival.
Unfortunately, in rare circumstances Southdownway Caravan & Camping may have to cancel your booking. In these circumstances we will offer you a full refund of any fees paid or the option of an alternative pitch/site of a comparable standard. No other compensation is available. In the event of enforced removal no refunds will be given.
Arrival and Departure
It is important that you report to the Site Reception on arrival, before pitching and pay any outstanding balance on your booking and any additional fees.
Arrival times on site are between midday (non electric) / 2pm (electric) and 6pm. If you wish to arrive outside of these times you must contact reception in advance and we will do our best to accommodate your request, but this cannot be guaranteed.
For advance bookings, if not notified otherwise, your pitch will be held until 6pm on the day of your arrival, after which it may be put up for re-sale and your booking treated as a cancellation with your monies retained.
Pitches must be vacated by 12pm on the day of departure unless otherwise agreed with us. Departures after midday are subject to availability and a charge of £10 per pitch. Departure times can be extended by prior agreement only.
Management and behaviour on site
In placing a Booking Request, you agree that you and your party will at all times comply with the requests of the Southdownway Caravan & Camping team.
As the person booking the holiday, you are responsible for the behaviour of all members of the party whilst on the Site.
Any willful damage to the Site or any other Southdownway Caravan & Camping property will result in you being asked to immediately leave the Site. If you are asked to leave under these circumstances, no monies will be refunded.
Our customers visit our campsite to enjoy the peace and tranquility of the area. If anyone does not respect this, we reserve the right to refuse them admission or ask them to leave the site at any time. If you are asked to leave under these circumstances, no monies will be refunded.
For the respect & enjoyment of everyone, we ask that noise levels are kept to a minimum after 11pm. No driving allowed on site after 11pm. No loud music at anytime.
Well behaved dogs are welcome on our campsite, on a lead at all times, for the charge of £4 per dog per night. Any fouling must be collected and disposed of. A maximum of three dogs per pitch are permitted. If there is an incident on site involving your dog, please note that you may be asked to leave the site immediately, no monies will be refunded.
Our wardens work very hard to make your stay with us is as pleasurable as possible. We will not tolerate bad behaviour of any sort, ie, substance abuse, theft, abuse of other guests or staff, intimidation or bad language will result in your party being asked to leave immediately, no monies will be refunded.
Our wardens carry small cameras, in the event of any discrepancies or altercations the camera will be switched on and used as evidence in the event of any complaints (this safeguards all concerned) any video footage will be responsibly disposed of and will not be used under any circumstance on social media or any social media platform. Video footage will only be viewed by senior management, Trustees, police or in a court of law if required to determine a suitable outcome for complaints of any sort.
Complaints
We want you to have a great time. Should you have cause for complaint, please let us know immediately and we will try to makes things right.
We ask you to note that if you do not give us the opportunity to resolve the problem by reporting it to us, we won’t be able to deal with any complaint. please send any complaints to gloria.hill@sussex-lantern.org all complaints will be looked at and dealt with by the CEO Gloria Hill and the Trustees.
